Capabilities

Everything your team needs.

Built specifically for pharmaceutical secondary sales — not a generic ERP with pharma bolt-ons. Every capability below exists because a real reporting cycle needed it.

  • Medica ERP
  • Marg ERP
  • EasySol
  • Prompt ERP
  • Custom ERP
  • Local software

The shape of it

What the platform actually does.

Four numbers that describe the shape of the product rather than a customer outcome we would have to qualify.

5+

Stockist ERP formats

Marg, Medica, EasySol, Prompt, and the long tail of local software.

12

Fields normalised

From opening stock through to batch and expiry, per product per period.

0

Changes asked of stockists

No portal, no template, no software for them to install.

1

Source of truth

One database behind every dashboard and export.

Capability 01

Multi-format ingestion

Accept Excel, CSV, PDF and TXT from any stockist ERP — Marg, Medica, EasySol, Prompt, or a system nobody has heard of.

  • Excel workbooks, including multi-sheet and merged-header layouts
  • CSV with detected delimiter and encoding
  • Fixed-width and delimited TXT from older local software
  • Digitally generated PDF stock statements
  • No template for the stockist to fill in, and no column order to enforce

Capability 02

Smart normalisation

Automatically extract and standardise more than ten fields, including opening stock, purchase quantity, sales value and closing stock.

  • Product name
  • Opening stock
  • Purchase quantity
  • Purchase value
  • Sales quantity
  • Sales value
  • Closing stock
  • Free quantity
  • Sales returns
  • Batch number
  • Expiry date
  • Rate per unit

Capability 03

Persistent product mapping

Map stockist names to your master catalogue once. Applied on every future upload, with no repetition.

  • Stockist name resolved to your master catalogue entry
  • Confirmed once, by the person who knows the stockist
  • Applied automatically on every subsequent upload
  • Pack-size and strength variants kept distinct rather than collapsed
  • Unmapped names surfaced for review instead of silently dropped

Capability 04

Role-based workflow

A structured MR to Area Manager approval chain, so data quality and accountability are built into the process.

  • MR sees only their own assigned stockists
  • Area Manager review queue across their MRs
  • Approve, or reject with a note the MR can act on
  • Nothing reaches a dashboard unapproved
  • Full submission history per stockist and per period

Capability 05

Territory intelligence

Drill down by territory, division, product line or individual MR, and understand the market as it actually is.

  • Drill down by territory, division, product line or SKU
  • Compare one division against another on the same geography
  • Per-MR coverage and submission discipline
  • Period-on-period comparison at any level

Capability 06

Centralised database

One clean, unified database — a single source of truth for secondary sales across the whole organisation.

  • One record per product, per stockist, per period
  • Consistent field names regardless of source format
  • Complete history rather than the current month only
  • A single dataset behind every dashboard and export

By role

Three people, three jobs

The platform is shaped around who is actually doing the work at each stage — which is why the MR side is almost featureless and the leadership side is almost entirely analysis.

Medical Representative

The person who actually collects the data. Everything they touch is designed to take under two minutes and to require nothing they don’t already know how to do.

  • See their assigned stockists, and only those
  • Upload a monthly statement in whatever format the stockist sent it
  • Confirm the mapping for any product name the system hasn’t seen before
  • Track whether each submission is pending, approved or returned
  • Submit on day one of the job, with no training session

Area Manager

The quality gate. Nothing reaches a dashboard until an Area Manager has looked at it, which is what makes the numbers defensible in a review meeting.

  • Work a review queue of submissions across their MRs
  • Compare a month against the previous one to catch anomalies before approval
  • Approve, or reject with a note the MR can act on
  • See which stockists in the area have not reported yet
  • Roll their area up into a single territory view

Sales leadership

The reason the platform exists. Once the data is clean and approved, the questions leadership has always wanted to ask become answerable in a click.

  • Compare divisions against each other and against target
  • Find slow-moving SKUs by region before they become write-offs
  • Read stock turnover to plan production against real demand
  • Evaluate MR effectiveness on coverage and submission discipline
  • Work from one dataset rather than five reconciled spreadsheets

How the engine works

Three mechanics do most of the work.

Ingestion that assumes nothing, mapping that only has to happen once, and an approval gate that makes the output defensible.

Standardisation

Twelve fields, one shape

Opening stock, purchases, sales, closing stock, batch, expiry and the rest — extracted from whatever column the stockist happened to put them in, and written out in your company’s own field names.

  • Column layout detected per upload, not read from a saved template
  • A reordered or renamed column does not break the month
  • Multi-sheet workbooks and merged headers handled

Persistent product mapping

Map once. Never again.

The first time a stockist’s shorthand appears, the person who knows that stockist confirms it. From then on the same name resolves itself — which is why month two costs a fraction of month one.

  • Pack-size and strength variants stay distinct
  • Unmapped names surface for review rather than being dropped
  • Corrections apply forward; history stays reproducible

Accountability

Every figure has a name against it

Submissions enter an Area Manager queue. Nothing appears in reporting until it is approved there, and a rejection returns to the MR with a note they can act on.

  • Pending and returned submissions excluded from every metric
  • Rejection is a normal path, not an exception
  • Full submission history per stockist and period
